Acceptable Use Policy

Version 1.1  |  Last updated: 13 April 2026

Commnia, based in Sydney, Australia, is a premier provider of cloud-based construction management software. Commnia Pty Ltd (together with subsidiaries and affiliates, referred to as “Commnia,” “the Company,” “we,” “us,” or “our”) is committed to upholding standards of responsible use and ensuring the integrity of our services.

This Acceptable Use Policy (“Policy”) outlines the acceptable and unacceptable uses of Commnia’s services and applications. It applies to all users of Commnia’s Services and is incorporated by reference into the Master Agreement and any relevant Product Terms or other agreement entered into between Commnia and an Organisation (“Agreement”).

This Policy is effective for as long as an Organisation receives Services from Commnia. If this Policy is not complied with, Commnia may take action including suspension of access or termination of the Agreement in accordance with Section 8 below.

1. Purpose

Commnia is designed to support collaboration, communication, and document control across construction projects. This Policy ensures that all users behave responsibly, protect the integrity and security of the platform, and comply with their legal and contractual obligations. It should be read in conjunction with Commnia’s Privacy Policy and Terms of Service, which together form the framework governing use of the platform.

2. Scope

This Policy applies to all users of Commnia Services, including users accessing via mobile and web-based applications, third-party integrations, and APIs.

Organisations are responsible for ensuring that all of their users comply with this Policy. A breach of this Policy by one user may result in the suspension or loss of Services for all users within that Organisation.

3. Acceptable Use

Users may use Commnia Services solely for lawful, authorised, and business-related purposes consistent with the Agreement. Users must:

  • Use the Services only in a way that complies with all applicable laws and regulations, including Australian law;

  • Share or distribute material that is offensive or discriminatory based on race, religion, gender, sexual orientation, disability, or any other protected characteristic;
  • Distribute or store content that promotes violence, sexual harassment, or illegal activities, or that violates contractual confidentiality obligations;
  • Share account credentials or access tokens with any unauthorised person;
  • Misrepresent your identity, role, or organisational affiliation, or impersonate any individual or entity;
  • Promote personal or third-party commercial interests unrelated to the Organisation’s legitimate business purposes;

5. API and Integration Use

Where Commnia provides access to APIs or supports third-party integrations, users and Organisations must:

  • Use API access only as authorised under the Agreement and in accordance with Commnia’s API documentation;
  • Not use API access to extract, replicate, or systematically download platform data beyond the scope of legitimate business use;
  • Ensure that any third-party integration is configured securely and does not introduce vulnerabilities into the platform; and
  • Promptly notify Commnia of any integration that behaves unexpectedly or appears to compromise platform security.

Commnia reserves the right to limit or revoke API access where usage is excessive, disruptive, or inconsistent with this Policy.

6. User Responsibilities

Users are responsible for:

  • Keeping account information and login credentials secure at all times;
  • Immediately reporting any suspected unauthorised access or suspicious activity relating to their account;
  • Notifying Commnia of any security breaches, data misuse, or violations of this Policy they become aware of;

  • Exercising sound judgement when uploading or sharing content, to avoid introducing offensive, harmful, or inappropriate material to the platform.

7. Data Protection and Security

Commnia maintains robust information security practices and holds itself to the highest standards for data security management. Users must:

  • Handle all data in accordance with applicable privacy laws, including the Australian Privacy Act 1988 (Cth), the GDPR where applicable, and any other relevant legislation;
  • Not share confidential, personal, or sensitive data with unauthorised users;
  • Ensure that any personal data collected or processed through the platform has the appropriate legal basis and consent where required; and
  • Avoid storing or transmitting content that breaches privacy, confidentiality, or legal agreements.

Commnia may monitor and log user activity to ensure compliance with this Policy and applicable law. Monitoring is conducted in accordance with Commnia’s Privacy Policy.

8. Enforcement and Consequences

Commnia takes breaches of this Policy seriously. Where a suspected breach is identified, Commnia will generally seek to follow a proportionate response:

  • Minor or first-time breaches may result in a written warning and a requirement to remedy the conduct;
  • Repeated or serious breaches may result in suspension of access for the individual user or the Organisation; and
  • Severe breaches – including those involving unlawful conduct, deliberate security compromise, or significant harm to Commnia or third parties – may result in immediate termination of the Agreement without notice.

Commnia reserves the right to:

  • Investigate any suspected breach of this Policy;
  • Notify appropriate law enforcement or regulatory authorities where unlawful conduct is identified; and
  • Seek legal remedies and recover damages where appropriate.

Nothing in this section limits Commnia’s rights under the Agreement or applicable law.

9. Reporting Violations

Any user who becomes aware of a suspected or actual violation of this Policy is required to report it promptly to Commnia’s support team or designated compliance contact. Reports will be treated with appropriate confidentiality.

Commnia will not penalise any user who makes a good-faith report of a suspected Policy breach.

10. Updates to This Policy

Commnia may update this Policy from time to time to reflect changes in our services, technology, or legal obligations. Where changes are material, we will notify affected Organisations via email or in-platform notice prior to the changes taking effect. Continued use of the Services after the updated Policy takes effect constitutes acceptance of the revised terms.

11. Governing Law

This Policy is governed by the laws of New South Wales, Australia. Any disputes arising in connection with this Policy are subject to the exclusive jurisdiction of the courts of New South Wales, unless otherwise agreed in writing between the parties.
